How to Use the Suite
A practical guide to the Payroll → Bookkeeping → Tax Center workflow and the system's safety boundaries.
Recommended workflow
- 1. Record or complete the real-world activity. Payroll is completed in Payroll; purchases/deposits are entered in Bookkeeping; taxes are paid/filed externally.
- 2. Record the result once. Use the built-in Payroll → Bookkeeping, Mileage → Bookkeeping, and Tax Center → Bookkeeping links where available to prevent duplicate entry.
- 3. Attach documentation. Use receipt/document links and the Receipts review queue.
- 4. Reconcile. Enter statement totals only; never bank login credentials. Resolve the bank-to-book difference to $0.00 when appropriate.
- 5. Review reports. Use the System Check, reports, budgets, and year-end reports to identify items that need attention.
- 6. Back up. Download a full JSON backup periodically. Restore is missing-record-only and never overwrites existing records.
Payroll
Create or review employees, prepare payroll, complete the payroll run, generate pay statements, then post the completed net payroll cash-out to Bookkeeping once. Payroll taxes are recorded separately when actually paid.
Bookkeeping
Record money in/out, use Vendor Memory or Use Again for repeat activity, attach receipt links, assign funds/grants and functional areas, reconcile monthly, and run reports.
Mileage & Accountable Plan
Record business mileage, reimbursement due/paid, and a payment date. New manual paid mileage can be posted once to Bookkeeping and the Accountable Plan.
Funds & Budgets
Maintain grants/restrictions, Startup Budget, annual Accountable Plan, mileage rate, and optional annual category budgets.
Tax Center
Use external government/provider websites to file and pay. Then record the payment result and filing status here so Tax Center and Bookkeeping stay synchronized.
Reports & Year-End
Review monthly/category/fund activity, nonprofit functional expenses, budget-vs-actual, cash-basis year-end activity, and export CSV or printable/PDF reports.
Settings
Edit company profile, logo, classifications, and Optional Features. Turning off an optional feature hides it without deleting its records.
What the software deliberately does not do
It does not store bank logins, routing/account numbers for payment transmission, ACH authorization, or government-site passwords. It does not transmit payroll direct deposits, tax payments, or tax returns. External actions are completed outside the software and then recorded/tracked here.
Changing something you do not like
Open Settings → Optional Features. Most newer ideas can be turned off without deleting data. Bookkeeping categories and custom classifications can also be changed from Settings, while protected system classifications remain available for reports and Accountable Plan logic.
